Role of Department Heads and Delegates
Department Heads
Department Heads are determined by the Master University Department (MUD) Table which is maintained by the Budget Department. If you'd like to see who is designated as the Department Head of your area please visit the Budget Website and click on MUD Table.
The role of the Department Head begins when the Purchasing Department initiates the workflow process that asks Department Heads to login to the tool and follow the instructions which includes sending one Signature Page to the Purchasing Department. Once the Department Head completes the process, they are given access to grant privileges, assign delegates, or view privileges for their departments.
A Department Head may grant privileges to any permanent employee of the University. A Department Head may choose to grant privileges to their subordinates, supervisors (VP level for example), business office managers, or in rare cases another employee outside of their area. Department Heads may also choose not to grant privileges at all.
Department Heads may also assign employees as delegates. Delegates are granted rights to assign privileges within their department on behalf of the Department Head. This is useful when a department head has several departments and/or several grantees. Note that delegates are not automatically granted signatory authority for administrative tasks. Those privileges must be assigned separately.
Please Note: As Division Heads, Deans, Directors, or Department Heads, You are accountable for all commitments and expenditures made within the units under your purview. The delegation of signatory authority does not relieve you of that responsibility.
Delegates
Delegates have been granted authority by their Department Heads to assign privileges on their behalf for a particular department. Once approved, a delegate will be able to grant new privileges as well as view, change, and revoke privileges already assigned within their department.
